Become A Host!

The OCA has 10 meetings a year (taking a break in the summer months - July and August) and we need your help to find a location to host!
 

For 2027 we are currently looking for the following dates:

Monday, March 1st - Pending

Monday, April 5th
Monday, May 3rd
Monday, June 7th
Monday, September 6th
Monday, October 4th

Monday, November 1st
Monday, December 6th

Details:

- Schedule:
The Board of Directors meets on-site at 5:00 PM for a meeting running until 6:00 PM. There are 8-10 board members.

Guests begin arriving between 6:00–6:30 PM for check in. If there is an option to keep them outside the main meeting space until the board meeting wraps up that would be appreciated, but we understand if it isn't feasible. The general meeting starts between 6:30–6:45 PM and typically wraps up by 7:30 PM, after which dinner is served at your discretion. (see below for dinner information)

- Budget: Hosts receive $30 per person registered plus a $5 per guest auto-gratuity.

- Format: The dinner format is entirely up to your team, we have had some spaces present a canape option upon arrival, and dinner can be plated, buffet-style, or a stand-up reception.

- Headcount:  An initial headcount and dietary restrictions starting the Monday before the event, with updates through the week and a final number by Friday leading into the weekend before the event. Our members are known for last-minute registrations so please keep that in mind. If there is a cap, we will make sure it is followed.

- Equipment: If a microphone is available, it is always helpful but not a requirement. We will respect the volume level to avoid disrupting any public dinner service.

- Educational Component: We try to incorporate an educational piece into each meeting. If there is a vendor you work with that you would like to highlight (examples of previous educational components: local farmers, sake producers, or winery tours), we absolutely encourage our hosts to be involved with this.
- Dinner: This is completely up to you and your team! Here are some options:
A) Plated Dinner: This is a 3 course dinner featuring an appetizer, main course, dessert - individually plated for each guest
B) Family Style: This is a 3 course dinner featuring an appetizer, main course and dessert - served on platters for each table
C) Stand Up Reception/Action Stations: This is a dinner featuring a minimum of 4 savoury stations and 1 dessert station  where items are plated in a small plates and the guest will be mingling
